Assigning Jobs to Staff
Assign team members to jobs during creation, editing, or directly from the schedule board.
Assign jobs from the form or the schedule board
Assign the right people to the right jobs during creation, while editing, or directly from the schedule board. Use the form when you need to assign multiple people. Use the schedule board when you need to make a quick staffing change.
Prerequisites
You need permission to create or edit jobs. Owners and Managers can assign staff to jobs.
Choose the assignment method that fits the job
Assign staff during job creation
Open the job form and use the Assign Team Members dropdown to choose who should work the job. The list shows each person as Name (Role), such as Jane Doe (Tech).
If you need more than one person on the job, select multiple names in the same field. Hold Ctrl on Windows or Cmd on Mac to select multiple people, then save the job.
Update assignments while editing a job
Open the job and select Edit to change the assigned staff. The same Assign Team Members dropdown appears on the edit form, and current assignments are already selected.
Add people, remove people, or clear the selection completely if nobody should be assigned. Save the job to apply the updated assignment.
Reassign from the schedule board
Drag a job block from one staff column to another to reassign the job quickly. This method is best for same-day changes when you need to move work between team members.
When you drop the job into a staff column, the new assignment replaces the current assignment with that one person. If you drag the job to the unassigned queue, the system removes all assignments.
When you reassign a job on the schedule board, the new assignment replaces the previous one. It does not add to the existing team. If a job needs multiple people, assign them from the create or edit form instead.
What Techs see
When a Tech is assigned to a job, they see it in My Assigned Jobs and in their own column on the schedule board. Techs can view job details, add notes, update job status, flag issues, and resolve issues.
Techs cannot edit the job, archive it, delete it, or view job financials. For the Tech view and workflow, see My Assigned Jobs.
Unassigning
Remove a team member from the Assign Team Members dropdown on the edit form when you want to change or clear the assignment. If you save the job with no one selected, the job becomes unassigned.
You can also unassign from the schedule board by dragging the job block to the unassigned queue. This removes all assignments and keeps the scheduled date and time in place.
