Confirm appointments before your team arrives
Pre-Visit Confirmation Forms let you confirm appointments with clients before your team arrives and collect last-minute details such as access instructions, pet information, and special requests.
Configure this form in Form Settings. Only Owners can access form settings. Managers and Techs cannot open or edit these settings.
What it is
A Pre-Visit Confirmation Form is a client-facing form you send before a scheduled job. Clients use it to confirm their appointment and share details your team needs for the visit.
Clients do not need to log in. They open the form from a secure link tied to that job.
Configurable fields
Use these fields to decide what clients can confirm or share before the visit.

| Confirm Appointment Time | Shows the job date and time. Client confirms or requests a reschedule. |
| Access Instructions | Gate codes, parking instructions, and how to enter the property. |
| Pet Information | Whether pets will be on site during the visit. |
| Special Requests | Any last-minute requests or things the team should know. |
| Custom Questions | Up to 5 custom questions you define, such as Will you be home during service? or Do we need to bring a ladder? |
All fields are enabled by default. Turn off any field you do not need.
How to configure
Open Form Settings to control what appears on the form. Toggle each field on or off, add up to 5 custom questions, then save your changes.
How to share
Open the job detail page and find the Form Links card. Next to Pre-Visit Confirmation, click Copy Link and paste the link into an email or message to your client.
The form link is secure. Only someone with the exact link can open it, and the client does not need to log in. Links stay valid for 90 days.

When a client confirms their appointment, the job status updates to Ready automatically. If they request a reschedule, the job is flagged with an issue and the owner is notified by email.
